Templates are created using the Web4Print Template Creation Software. Template creation consists of the following steps: - design and layout template
- define variable elements of the document
- upload template to Web4Print Server
Artwork can be imported as an .eps file from QuarkXPress, InDesign or other page layout applications, then variable elements can be added.
Sophisticated typography and automated layout combine to enable versatile formatting, allowing a wide range of variation in length of text elements or size of images.

Once a template has been uploaded to the Web4Print Server, it is available from anywhere with internet access to authorised users.
The user fills in a simple web form which drives the production of a unique final print-ready product based on the specifications in the template creation process.
Variable components of documents can include:
- automated inclusion of titles, addresses, or other text
- translated versions or versions for demographic groups
- image selection or uploadable images

The Web4Print system can be configured to automatically send print-ready files either directly to a printer or print manager, or to a folder awaiting approval and production.
Jobs can be configured to output as PostScript, PDF, EPS, TIF or GIF files.

Users with administrative privileges can:
- monitor all user activity
- upload new templates
- create template and user groups
- assign user access to template groups
- set output preferences
